How to work the Insurability Forms drawer
Everyone you have sent the Insurability Form to, by stage: not sent, not opened, opened, started, needs info, needs review, reviewed. Tap a stage, work the list top to bottom, and every action on a row hands off to the tool that already does it.
Who this is for
Anyone who sends the Insurability Form: a producer working their own book, or a VA working the whole agency's list.
The stages, left to right
The strip across the top is the funnel. A form moves Not sent → Not opened → Opened → Started → Needs info → Needs review → Reviewed, and each cell counts the forms sitting on that rung right now. Every form is on exactly one cell (or in the footnote: expired, revoked), so the cells add up. One row per person and product: someone pitched two products is two forms.
Tap a cell to work that stage; tap it again to see everything. The red dot on Needs review means completed forms are waiting on a person.
What each stage asks of you
Not sent: a link exists and nothing has gone out. Send it (by text or email from the row).
Not opened: it went out and they have not opened it. The small pill says what the delivery record shows: delivered, emailed, sent, failed, or no evidence. 'No evidence' is not 'never delivered'. A link pasted into a call or a channel we do not log leaves exactly that trace. Call, or resend on the other channel.
Opened: they looked at the first screen and left. A nudge: 'did you have trouble?'
Started: they typed something and stopped. The warmest chase: 'want a hand finishing it?'
Needs info: they pressed Submit and one named answer is missing. The row says what: 'waiting on: …'. One question closes it. Do not resend the form.
Needs review: completed, waiting on you. Review it from the record, book the review call, then Mark reviewed so it leaves your list.
Reviewed: done. Still here so the book stays whole.
The Actions menu
Every row has Call, Text, and an Actions menu grouped by what you are doing. This form: review it, mark it reviewed, open the underwriting case by its handle. Reach them: call, double dial, text, book a review call (a text with your booking link, ready to send). Send: send or resend the Insurability Form by text or by email, or send a custom form. Open prospect.
Nothing on this page sends, dials or grades on its own. Each item opens the tool that already does that job (the dialer, the send sheet, the record's text composer), so there is one way to send a form, not two.
If texting, email or booking is not set up yet, the button stays where it is and flashes red when pressed, and a message tells you what connects it. Ask Copilot from that message, or open the setup page.
Dial this stage
With a stage selected, the header button loads that exact cohort into the power dialer: the same people you are looking at, in a dialable queue. Needs review and Reviewed dial the completed forms; Needs info dials the submitted ones; Started, Opened and Not opened dial their own. Not sent, Expired and Revoked have no button: there is no form out to talk about.
The filters
Search is always on. Filters narrows the whole drawer, the strip and the list, by campaign, product, rep (managers) and window (30, 90, 365 days, all time). Applied filters show as chips you can remove one at a time, and they live in the address bar, so a reload or a shared link keeps them. Sort by how far along a form is (furthest first, or least far), by newest movement, or by longest waiting.
Moved since yesterday, the chip beside the search box, keeps only the forms whose latest step (sent, opened, started, submitted, completed or reviewed) happened since the start of yesterday in your own timezone, so a morning pass shows exactly who advanced overnight. While it is on, the strip's caption counts them, each row leads with that step ('→ completed 2h ago', '→ opened yesterday'), and the list sorts newest movement first; the strip itself keeps showing the whole book.
Common mistakes
- Resending the form to someone in Needs info. They already filled it in; the row names the one answer that is missing.
- Reading 'no evidence' as 'never sent'. It means no logged message carried the link; a fifth of those people had opened it.
- Working Not opened before Started. Someone who typed and stopped is the warmer call.
- Leaving completed forms unmarked. Mark reviewed is the only way a form leaves Needs review.
