How to run your day in the CRM

Five habits, in order: return every missed call, clear every new reply, recover no-shows, work your follow-up queue, clear overdue tasks. Doing them in that order is worth more than doing more of them.

Why the order matters

The five habits are ranked by how fast the opportunity decays, not by how they feel.

A missed call is someone who wanted to talk to you *just now* — call back within minutes and you often catch them; call back tomorrow and you're cold-calling someone who already tried. A new text reply is the same signal, slightly slower-burning. A no-show still wants the thing they booked; they just didn't make it. Your follow-up queue is people you're nurturing. Overdue tasks are things you promised yourself.

Working the list bottom-up — clearing admin first because it feels productive — is the most common way to have a busy day with nothing to show for it.

Start with the queue, not the inbox

The Command Center builds your day for you. Open it first and use its 'start work' flow rather than browsing the lead list. Browsing means you pick who to call, and people reliably pick the leads they feel good about rather than the ones most likely to close.

Finish the conversation you started

A half-worked lead is worse than an untouched one — you've spent the contact and got no information. Before moving on, put a disposition on the lead. That's not admin: the disposition is what tells the system whether to keep texting them, hand them to re-engagement, or stop. Leaving it blank leaves the lead in limbo.

How to check it worked

  • At the end of a day, your missed-call and new-reply counts should both be zero. If they aren't, that's the day's real story regardless of dial count.

Common mistakes

  • Dialling fresh leads before returning missed calls. The missed call is a warmer lead than anything in your new-lead queue.
  • Leaving leads undispositioned. It's the switch that controls whether the AI keeps working them.
  • Treating the follow-up queue as optional. It's where most of the book actually lives.
