Setting up a campaign (and why the product setting matters most)

A campaign is a pipe: it takes leads from an outside source into the CRM, tags them with a product, and decides which rep gets them. The product you set is what the AI assumes every lead from that source asked about. Get it wrong and it opens about the wrong thing.

Who this is for

Admins and anyone connecting a lead source.

Before you begin

  • Know what the leads from this source actually opted in for. This is the thing that must be right.
  • Decide which reps should receive them.

What a campaign is here

A pipe that takes leads from an outside source (a Facebook form, a landing page, an aged list) into your CRM, and decides which product they're for and which rep gets them.

The webhook

Each campaign gets a unique URL you paste into your lead source. When a lead comes in through it, they land already tagged with that campaign's product and settings. That tag is what tells the AI what these leads asked about.

Round-robin assignment

Sets which reps new leads from this campaign are split between, and in what order. Changing the pool changes who gets tomorrow's leads. It takes effect on the next lead in, not retroactively.

The thing to be careful with

The product/intent you set is what the AI assumes every lead from this source wants. It must match what they actually opted in for. If you point a mortgage-protection form at a campaign tagged for final expense, every one of those leads gets an opening text about a product they never asked about, and the damage is done before anyone notices.

How to check it worked

  • Submit a test lead through the webhook URL and confirm it arrives tagged with the right product.
  • Confirm it was assigned to a rep in the pool you configured.
  • Read the first AI message it receives and check it matches what the lead opted in for.

Common mistakes

  • Product intent that doesn't match the opt-in. The single most damaging campaign misconfiguration.
  • Expecting a routing change to reassign existing leads. It only affects new arrivals.
  • Leaving a campaign with no reps in the round-robin pool.
