Zoom integration
Stop pasting Zoom links into appointments.
Connect your own Zoom account once, and every video appointment you book in Virtual Closer gets a real Zoom meeting created for it — on your account, at the right time, with the join link already attached and already in the confirmation email.
What it does
Before this integration, booking a video appointment meant leaving the CRM, opening Zoom, scheduling a meeting for the same time, copying the join link, coming back, and pasting it in. Six clerical steps, each one a chance to paste the wrong link, reuse a Personal Meeting ID that collides with the next call, or forget entirely and send a confirmation email with nothing in it.
With Zoom connected, that all happens as part of booking:
- A scheduled Zoom meeting is created on your account, matching the appointment's date, time, duration and time zone.
- The join link is saved to the appointment and used everywhere the location is shown.
- The link goes into the confirmation email automatically, so the person you are meeting always has something to click.
- If the appointment is cancelled, the Zoom meeting we created is deleted.
The meeting is an ordinary scheduled Zoom meeting. It shows up in your Zoom client and web portal next to everything else you schedule, and you can open and edit it there like any other.
Adding the app
- Sign in to Virtual Closer at app.virtualcloser.com.
- Open Integrations from the navigation.
- Find the Zoom card and click Connect Zoom.
- Sign in to Zoom if you are not already signed in.
- Review the permissions Zoom shows you and click Allow.
- You are returned to the Integrations page, which now shows the Zoom account you connected.
That is the whole setup. There is nothing else to configure, no template to define, and no default to choose. The next video appointment you book will have a meeting created for it.
Each person connects their own Zoom account. An administrator cannot connect Zoom on behalf of the team, and there is no shared agency-wide connection. This is deliberate: a meeting has to have a host, reps host their own calls, and Zoom limits how many meetings one host can run at once — a shared account would collide the moment two reps had appointments at the same time.
Using the app
- Book an appointment as you normally would.
- Choose Zoom as the meeting type.
- Leave the link field empty. A meeting will be created for you when you save.
If you would rather use your own link — a recurring room, a webinar, or a meeting you have already scheduled — paste it into the link field instead. Virtual Closer will use exactly what you typed and will not create anything in Zoom. The automation fills a gap; it does not take away the choice.
The connected account's email address is shown on the Zoom card. If you have both a personal and a work Zoom account, that is how you confirm the right one is attached.
Removing the app
You can disconnect at any time, from either side.
From Virtual Closer: open Integrations, find the Zoom card, and click Disconnect. This revokes the authorization with Zoom and deletes the stored credentials from Virtual Closer entirely — the record is removed, not just marked inactive.
From Zoom: go to the Zoom App Marketplace, open Manage → Added Apps, find Virtual Closer OS, and click Remove.
Either way, Virtual Closer stops creating meetings on your account immediately. Appointments you have already booked keep the links they were given, because those meetings already exist in your Zoom account and are yours. If you revoke access from Zoom's side, Virtual Closer notices the next time it tries to use the connection, stops trying, and updates the Integrations page to show that it needs reconnecting — it will not keep retrying an authorization you withdrew.
Permissions, and why each is requested
- meeting:write — create the scheduled meeting when you book an appointment, and delete it if the appointment is cancelled.
- meeting:read — read back a meeting we created, to confirm it exists and to retrieve the join link stored on the appointment.
- user:read — read your name and email so the Integrations page can show which Zoom account is connected.
What we do not do
Stated plainly, because a permission list is easier to trust when the edges are explicit.
- We do not join meetings. No bot or participant of ours enters any meeting, ever.
- We do not record meetings or access recordings.
- We do not transcribe meetings or process meeting audio or video.
- We do not read meeting content, chat, or participant activity.
- We do not read, change or delete meetings this app did not create.
- We do not access any Zoom account other than the one you personally connected.
The data we keep from Zoom is deliberately small: the connected account's identifier, email and account identifier, plus the meeting ID and join link of meetings this app created. Tokens are stored server-side, are never exposed to the browser, and are deleted when you disconnect. See our Privacy Policy for the full picture.
Troubleshooting
The Zoom card says it is not available on this instance. The Zoom app has not been configured for your Virtual Closer instance yet. Contact your administrator or our support team.
The card says the connection expired. Your Zoom authorization was revoked or has lapsed. Click Reconnect Zoom. Appointments still save normally in the meantime; they simply go back to needing a link pasted in by hand.
An appointment saved without a Zoom link. Either Zoom was not connected at the moment you booked, or a link was already in the link field so no meeting was created. Connect Zoom, then either add a link by hand or rebook.
I connected the wrong Zoom account. Disconnect, sign out of Zoom in your browser, then connect again and sign in with the account you want.
