Appointments, setters and closers
An appointment records who set it and who's running it. Those can be different people, and the split is what drives attribution — so it's worth understanding before you look at anyone's numbers.
Who this is for
Producers, and anyone reading performance numbers.
Setter and closer are separate roles on the same appointment
One person books the appointment; another may run it. Both are recorded, along with who the lead is assigned to. In a solo setup all three are you. In a setter/closer team they're genuinely different people, and attribution reports depend on the distinction being right.
The appointment lives in two places
It's in the CRM, and — if the assigned agent has connected Google — on their real calendar. If the connection lapses, appointments still save here but stop syncing there, which is how people end up double-booked. The CRM will tell you to reconnect rather than silently claiming you were never set up.
No-shows are not dead leads
When someone no-shows, the weekday and time they chose is preserved as a callback window and resurfaced on the Hot Leads page while it's still fresh. Calling a no-show back inside their own chosen window is one of the highest-yield calls available — most people never make it.
Common mistakes
- Assuming the assigned agent is the setter. They're separate fields for a reason.
- Ignoring a calendar reconnect prompt, then wondering why Google and the CRM disagree.
- Writing off no-shows instead of working their callback window.
